Position Summary

The Payroll/HR Specialist is responsible for ensuring accurate and timely payroll processing while supporting various human resources functions. Approximately 60% of this position’s responsibilities will focus on payroll administration, with the remaining 40% dedicated to HR support.

This role requires exceptional attention to detail, discretion, and a strong understanding of payroll systems and compliance requirements. The ideal candidate will be proactive, reliable, and passionate about maintaining efficient processes that support both employees and organizational goals.

Key Responsibilities

Payroll (Approximately 60%)

  • Prepare and process semi-monthly payroll for all employees, ensuring accuracy and compliance with federal, state, and local regulations.
  • Maintain payroll records and ensure proper documentation of employee changes including new hires, terminations, and pay rate adjustments.
  • Prepare payroll reports for accounting and management as needed.
  • Manage payroll taxes, deductions, and benefits contributions accurately and on time.
  • Prepare and submit semi-monthly retirement plan contribution files.
  • Ensure compliance with wage and hour laws as well as internal company policies.
  • Respond to employee inquiries related to payroll, tax forms, and earnings statements.
  • Coordinate with Finance and HR teams to resolve discrepancies or issues related to payroll processing.
  • Drive implementation of payroll system upgrade (ADP Workforce Now).

Human Resources (Approximately 40%)

  • Assist with onboarding and offboarding processes, including preparation of employment documentation and maintenance of personnel files.
  • Support benefits administration including enrollments, changes, and employee inquiries.
  • Assist with 401(k) plan administration.
  • Support HRIS administration.
  • Maintain accurate and confidential HR records in compliance with company and legal requirements.
  • Assist with HR reporting, audits, and compliance initiatives as needed.
  • Support collection and maintenance of employee records (e.g., training records, acknowledgement of receipt records).
  • Support and assist HR with planning employee activities and events.

Requirements

  • Bachelor’s degree in accounting, human resources, business administration, or a related field.
  • 5+ years of experience in payroll processing; HR support experience is a plus.
  • Experience working in a remote environment with employees located in multiple states.
  • Strong knowledge of payroll regulations and tax requirements (including state payroll/tax registrations).
  • Proficiency with payroll systems (e.g., ADP Run, ADP Workforce Now) and Microsoft Office Suite.
  • Experience implementing payroll systems and/or payroll system upgrades preferred.
  • Exceptional accuracy, organization, and attention to detail.
  • Ability to handle confidential information with discretion.
  • Strong communication and problem-solving skills.
  • Positive and collaborative attitude.
